What is event management?

Updated: Oct 3, 2019

Event management is everything from planning to the execution of your event. After organising various conferences, breakfast meetings, roundtable discussions and workshops, we figured out something very important

- in order to have a smooth event you need to pay attention to every little task and detail right from the beginning -

This starts with the speakers/influencers you would like to invite, finding sponsors, sending invitations to your contact lists all the way to making sure you will have the best hosts & hostesses handling registrations and keeping the guests happy.

Event management is extremely important

To have a successful event there are a number of skills that need to be covered:

1. Passion

Working in the event industry can be a lot of hard work, but when executed properly it can be very rewarding. Rule number one is to be passionate about what you are doing.

2. People skills

Event management is a people business, where people are the most important asset and are at the centre of communication. Every part of the planning and process involves understanding people.

3. Communication skills

Events are the best communication tool. The main objective is to communicate with your guests at the day of an event and make sure that everything is going as planned.

4. Problem solving skills

It is very normal to face some problems through-out an event. The importance is to keep calm, be solution oriented and accept the challenges on the way.

5. Resourcefulness

The ability to find quick and clear solutions using the resources you have at your disposal and put them in action.

6. Attention to detail

The difference between a successful event and a mediocre event is in the details. If you want to stand-out, you need to take care of all “the little things” which together makes up the event.

7. Time management

It is crucial to be time efficient and to keep the deadlines for all on-going projects.

8. Efficiency

The art of understanding orderliness in your tasks and the ability to plan your tasks in a way that allows you to optimise your productivity.

9. Organisational skills

It goes well without saying that being well organised is a prerequisite to succeed in event management.

10. Flexibility

It is important to be flexible and not to let your controlling nature stop you from seeing and taking good opportunities. In this way when you find yourself in front of obstacles coming up along the way, you will be able to make the best out of the new circumstances.

11. Teamwork

Every event planning relies on teamwork. Something you need to accept is that it is good to ask for help and think of the different ways that your team could assist you.

12. Responsibility

Yours, your brand’s and client’s reputations are at stake. Organising an event means being responsible for a substantial budget and a large amount of people.

13. Respectfulness

If you are organising an event for a client, you need to make sure that you respect their needs and wishes. You may not always agree a 100%, but it is important to remember that the client is always right. Your client being happy is as important as the event being planned to perfection.

14. Endurance

The event business can be though, because the more passionate you are – the more you strive for perfection. Therefore it is important to have endurance in facing the different aspects of the event cycle and to never give up along the way.
